Internal Network Specific ItemsIncluded in this list are the items that are normally associated with an employee’s use of internal network resources:
The company should spend time thinking about how the ex-employee’s email is handled. Should an automated reply be set up for the account? Should incoming email be forwarded to another user. Should a user be assigned rights to the email account? Should the mail be archived? Similar to this would be how the phones are handled. Should they be auto forwarded, or should a special message be played? One of the biggest security issues today, one that is almost always overlooked, is the sharing of passwords. Administrators should work hard to ensure that this doesn’t happen. However, at the end of the day it has to be assumed that it does. If a person has shared a password with someone that you have dismissed, your security, no matter how hard you lock it down will be for naught. Managers must address this with employees. If it does occur, a company may want to force all users to change their passwords when someone leaves. External Network ResourcesMany companies pay for the use of external resources on the Internet. Too often, these are not addressed when an employee leaves the company. A good example of this would be when a company subscribes to an industry based web site. If an employee that used the site were to quit and go to work for a competitor, the employee could turn around and continue to use the web site for the benefit at the competition, at your expense. While it may not be legal for the employee to use the service in this way, it does occur. The cleanest way is for the employer to disable the user’s account. If the account is shared, the employer should change the password. There are also a host of Password Management solutions that could be brought to bear on this problem. In most cases, they can be configured so that the employee never knows the actual password used by the service. SummaryTerminating an employee is normally a stressful situation for the employer. Having an adequately defined checklist can go a long way to ensuring that nothing is missed.
